Executive Admin Assistant\Project Coordinator

Responsibilities

This Executive Assistant role serves as the primary source of administrative and clerical support for the business line Executive. This person will be responsible for:
All administrative support and management of the office of the Executive. The chosen candidate will partner with Leadership, interacting with all levels within the organization and will serve as an external communication bridge between clients, vendors and business partners. Management and Coordination of Operation projects required Facilitating your managers’ calendar of appointments using strong time management skills. Managing all incoming information (phone calls, correspondences, mail and email); managing the flow of communication and keeping track of any required action and due dates. Create and maintain record system of assigned action items and promptly follow up with individuals to ensure actions are completed by agreed upon due dates. Create presentations, invoices, memos, letters, spreadsheets and other documents using latest software packages. Attend staff meetings and compile, transcribe and record highlights and action items. Manage all administrative functions for the Executive including filing and maintenance of all files. Provide support for the Executives activities, coordinating onsite and offsite meetings; resolving logistical issues and arranging for support facilities if needed. Efficiently manage shifting priorities to meet deadlines and action items.

Qualifications

High School or equivalent (GED), Associates preferred 3 years Executive Administrative experience 2-3 years Project Coordination/Management skills Excellent customer service skills Good written, verbal and communication skills Ability to multi-task Proficient - MS PowerPoint, MS Excel, and MS Word

Hours and Work Schedule

Hours per Week:   40

Work Schedule:    Monday-Friday 8:00AM-5:00PM
